Activis Pharma Ltd (“Activis Pharma”, “we”, “us”) is committed to protecting your personal data. This Privacy Policy explains how we collect, use, share and protect personal data when you visit activispharma.rw or deal with us, in accordance with Law No. 058/2021 of 13/10/2021 relating to the protection of personal data and privacy in Rwanda (the “Data Protection Law”).

2. Personal data we collect
- Enquiry and quote information: name, organisation, job title, email address, phone number and the details of your enquiry or order when you use our Request a Quote or Contact Us forms, call us or email us.
- Business account information: details needed to serve you as a customer, such as your facility name, licence or registration details, delivery address and contact persons.
- Job applications: CV, cover letter and contact details you send us when you apply for a position.
- Technical information: IP address, browser type, device and pages visited, collected through cookies and similar technologies.
We do not knowingly collect sensitive personal data, such as health data of patients, through this website. Please do not send patient information through our forms.
3. Why we use your data (lawful basis)
- To respond to your enquiries and provide quotes (steps taken at your request before entering into a contract).
- To process, deliver and invoice orders and manage our customer relationship (performance of a contract).
- To comply with legal and regulatory obligations, including those applying to pharmaceutical wholesalers in Rwanda.
- To improve and secure our website and services (our legitimate interests).
- To assess job applications, and to send you information you have asked for or that you have consented to receive. Where we rely on your consent, you may withdraw it at any time.
4. Sharing your data
We do not sell your personal data. We share it only with: delivery and logistics partners; IT, hosting and email service providers who process data on our behalf under appropriate safeguards; professional advisers; and authorities such as regulators or law enforcement where required by law.
5. Transfers outside Rwanda
Some of our service providers, for example website hosting and email, may store data outside Rwanda. Where we transfer personal data abroad, we do so only in line with the Data Protection Law, which requires appropriate safeguards or a valid legal basis for the transfer.
6. Cookies
Our website uses cookies to function properly and to understand how visitors use it. You can accept, refuse or delete cookies through your browser settings. Refusing some cookies may affect how the site works.
7. How long we keep your data
We keep personal data only for as long as needed for the purposes described above or as required by law. Enquiries are kept for as long as needed to respond to and follow up on them. Customer records and invoices are kept for the periods required by Rwandan tax and commercial law. Unsuccessful job applications are kept for a limited period and then deleted.
8. Security
We use appropriate technical and organisational measures to protect personal data against loss, misuse, unauthorised access and disclosure. If a personal data breach occurs that is likely to affect your rights, we will notify the supervisory authority and, where required, affected individuals, as the law requires.
9. Your rights
Under the Data Protection Law you have the right to: be informed about how your data is used; access your personal data; have inaccurate data corrected; have your data erased in the circumstances provided by law; restrict or object to certain processing; receive your data in a portable format where applicable; withdraw consent at any time; and not be subject to decisions based solely on automated processing that significantly affect you.

10. Children
Our website and services are intended for businesses and healthcare professionals. We do not knowingly collect personal data from children.
